Job description
Due to continued growth, we are looking for an organised & passionate individual to own the booking and travel for our Events team here at Stryker!
This role will focus on planning, administration, coordination and booking of travel (flights, accommodation and transfers) for Health Care Professionals (HCPs) attending Stryker conferences, events, meetings and courses and supporting activities for the Marketing events function.
Responsibilities
- Responsible for supporting Event Managers in managing all travel logistics and bookings for HCPs: flights, accommodation, transfers all whilst adhering to compliance guidelines for HCP interactions.
- Ownership of all scheduling and communication with the travel agency
- Build a strong working relationship with travel agency to ensure optimal service levels.
- Effective communication with key internal and external stakeholders.
- Administration throughout the travel process such as: adhering to compliance regulations and requirements, expenses, raising PO’s, creating itineraries, managing enquiries and where necessary updating event management timelines, checklists, and budgets.
- Gather, assess, and utilise feedback and lessons learnt to improve event management activities and recurring events.
- Building registration sites, surveys, and communications via the preferred event management platform CVENT.
- Support the team with key projects: management of surgical facility contracts, manage the events calendar, co-ordinate monthly highlights report, co-ordination of supplier and venue master listing, assist with large events
Key skills:
- Excellent time management skills are a must – this role will have a large degree of juggling priorities and problem solving
- Ability to prioritise work and keep detailed, accurate records
- Strong interpersonal skills including communication (via phone, email and instant messaging)
- Communication, negotiation and co-ordination skills are required to liaise with internal and external colleagues and service providers
- Must be capable of learning and adapting to the use of systems and processes
- Be a team player, with excellent administration and communication skills
- Strong written and stakeholder management skills
- High degree of autonomy, ability to use initiative and work with a minimum of guidance and direction.
- High level computer skills with proficiency in Microsoft Office applications particularly Word, Excel and PowerPoint
- Ability to work well in a fast-paced environment and under pressure with a proactive and solution-oriented approach to problem-solving.
Desirable Requirements (eg: skills, experience, qualifications):
- Bachelor’s degree or equivalent qualification by degree and related work experience
- 1+ years of office experience
- Prior experience in booking travel would be beneficial, but not necessary
