Work Flexibility: Hybrid (2-3 days on site per week

On Site Location: 325 Corporate Dr., Mahwah, NJ

Shift: Monday – Friday, 8:00 AM – 5:00 PM

Summary:

The Senior Coordinator will provide direct support to the Vice President of Hip Product Development and their leadership team as well as the Senior Director of Communications, Integrated Marketing, and Customer Experience. In this role, you will be responsible for supporting the everyday needs and functions of the department, such as travel arrangements, arranging and supporting internal and external meetings and events, as well as maintaining the Vice President’s and Senior Director's calendars and schedule.

What You Will Do:

The Senior Coordinator will provide direct support to the Vice President of Hip Product Development and their Leadership team as well as the Senior Director, Communications, Integrated Marketing and Customer Experience. In this role, you will be responsible for supporting the everyday needs and functions of the department, such as travel arrangements, arranging and supporting internal and external meetings and events, as well as maintaining the Vice President’s and Senior Director's calendars and schedule. Additional responsibilities may require you to:

  • Manage travel arrangements including preparing detailed itineraries for each trip; periodically check messages and monitor travel arrangements.
  • Draft confidential reports, correspondence and agendas; use initiative to answer routine inquiries.
  • Scheduling, logistics, and execution of local Town Halls, employee engagement events, leadership meetings, customer meetings, and more.
  • Maintain updated departmental organizational charts; update spreadsheets and databases and maintains department files, including those of a confidential nature.
  • Interact with customers and employees via phone or in person; review, prioritize and respond to incoming mail, voicemail, email, and confidential documents.
  • Schedule outgoing business phone calls, conference calls and virtual meetings globally.
  • Maintain Executive(s) schedule and calendar; schedule business meetings both inside and outside of the office via an electronic calendar.
  • Communicate with staff and all levels of personnel inside and outside the company to gather and convey information pertaining to team's responsibilities.
  • Review and prioritize activities, take action and escalates critical matters.
  • Process invoices and department expenses for approval; track and reconcile to departmental budget.
  • Respond in a timely manner to routine departmental questions and respond to general internal/external customer requests.

What You Need:

Required:

  • High School Diploma or Equivalent
  • 3+ years’ experience supporting Senior Leadership in a similar capacity
  • Experience with Microsoft Office Suite technology, including Outlook Calendar with complex meeting scheduling across multiple time zones, document creation, spreadsheet creation, and presentation creation.

Preferred:

  • Associate or bachelor’s Degree
