Join Our Team as an Executive Assistant to the Vice President, Asia!

We are looking for an exceptional Executive Assistant to support our Vice President, Asia. In this critical role, you will empower our leaders by supporting operational and strategic activities, enhancing efficiency, and fostering success across the organization.
What You Will Do:
Streamline Travel and Expenses: Organize domestic and international travel arrangements, prepare detailed itineraries, and manage expense reporting for the VP Asia.
Master Calendar Management: Coordinate complex schedules, monitor recurring appointments, and liaise with senior executives’ EAs to ensure seamless meeting coordination.
Email and System Oversight: Monitor emails, ensure timely responses, and organize key information for the VP Asia.
Document Excellence: Prepare, proofread, and manage documents, presentations, and reports with impeccable attention to detail.
Leadership Support: Compile and distribute monthly highlight reports and other management updates, keeping stakeholders informed.
Meeting Coordination: Schedule and manage internal meetings for the Neurovascular Asia Leadership Team, liaising with executives and EAs.
Prioritize Workflow: Manage tasks and deadlines for the VP Asia, aligning priorities with strategic business objectives.
Anticipate Needs: Proactively identify opportunities to support leaders and the leadership team, demonstrating initiative and problem-solving skills.
Action Tracking: Attend meetings, record actions, and ensure timely follow-up to drive results.
Project Ownership: Lead assigned projects by coordinating timelines, resources, and stakeholders for successful outcomes.
Critical Requirements:
Experience: At least 5 years of executive-level administrative support experience.
Organizational Skills: Exceptional time-management skills to handle complex scheduling and travel arrangements.
Communication: Strong written and verbal communication skills, with the ability to prepare and proofread high-quality reports and presentations.
Technical Proficiency: Advanced knowledge of Microsoft Office Suite and tools like OneNote and expense management systems.
Proactive Problem-Solving: Ability to anticipate needs and resolve challenges with minimal supervision.
Adaptability: Proven ability to manage multiple priorities and deadlines in a fast-paced environment.
Professionalism: Discretion in handling confidential information and maintaining a high level of professionalism.
Attention to Detail: Accuracy in managing reports, calendars, and deliverables.
Project Coordination: Experience in executing and coordinating projects aligned with organizational goals.
Desirable Qualifications:
Regional or global administrative support experience is highly regarded.
Bachelors degree or equivalent is preferred.
Additional Information:
Occasional travel may be required for large meetings or events.
