Job description

This key role will assist the Vice President, Asia in all their operational and strategic activities to enable them to optimize their performance and that of the Asia Leadership team for the Neurovascular Division.

The role focus will be on supporting the Vice President, Asia & Senior Director, APAC.

  • Organize domestic and international travel arrangements and prepare itineraries for VP Asia and Senior Director APAC
  • Efficiently manage expense reporting for VP Asia and Senior Director APAC
  • Efficiently manage calendar scheduling for VP Asia and Senior Director APAC, always monitoring future and reoccurring appointments and liaising with senior executives EAs to coordinate meetings

  • Oversee system access and monitor emails, ensuring timely responses and relevant information is organized for the VP Asia
  • Prepare, proofread, and manage documents, presentations, and reports.
  • Compile and distribute monthly highlight reports and other management updates
  • Schedule and coordinate internal meetings for Neurovascular Asia Leadership Team, including liaising with other executives and EAs
  • Manage task prioritization and deadlines for VP, Asia to maximize workflow efficiency and align with business strategic priorities
  • Anticipate the needs of the Vice President, Asia and ALT, demonstrating initiative and problem-solving skills to manage priorities effectively
  • Attend meetings, record relevant actions and follow up as needed
  • Take ownership of assigned projects by coordinating timelines, resources, and stakeholders to ensure successful completion

Critical Requirements (eg: skills, experience, qualifications):

  • Proven experience in executive-level administrative support
  • Exceptional organizational and time-management skills to handle complex scheduling and travel arrangements.
  • Strong written and verbal communication skills, including the ability to prepare and proofread reports and presentations.
  • High level of proficiency in Microsoft Office Suite and other relevant tools (e.g., OneNote, expense management systems).
  • Demonstrated ability to anticipate needs and proactively solve problems with minimal guidance.
  • Experience managing multiple priorities and deadlines in a fast-paced, dynamic environment.
  • Strong interpersonal skills to liaise effectively with senior executives, EAs, and cross-functional teams.
  • Ability to handle confidential information with discretion and maintain a high level of professionalism.
  • Attention to detail and accuracy in managing reports, calendars, and project deliverables.
  • Proven capability to execute and coordinate projects, ensuring alignment with organizational objectives and timelines.

Desirable Requirements (eg: skills, experience, qualifications):

  • Preferably experience in a regional or global administrative support role

Other requirements (eg: travel, on-call responsibilities):

  • Occasional travel may be required for large meetings
