WHAT YOU WILL DO

Provide specialized and advanced administrative support, of both routine and confidential in nature, to the Vice President, Healthcare Systems and direct reports.

Primary responsibilities include:

  • Organize meetings, teleconferences and web casts, coordinate meeting logistics, prepare presentations and materials, and troubleshoot problems, often across other Stryker Business Units. 
  • Coordinate travel arrangements and track and submit expense reports.
  • Maintain calendar for VP HCS, proactively managing availability, resolving conflicts and balancing workload. 
  • Coordinate and manage on and off-site meetings and events hosted by VP HCS.   
  • Process invoices and assist in expense tracking and reporting and inter-company charging as appropriate.    
  • Type, create, and process letters, reports, and other materials (charts, graphs, etc.) using Microsoft Office Products.
  • Answer, screen, and route phone calls, provide responses to general customer requests; prepare and screen correspondence, email, and voicemail.
  • Coordinate phone, PC and other technology support requests, including coordination for new hire on-boarding.
  • Maintain a well-organized filing system, ensuring critical and/or confidential data is appropriately managed and stored.
  • Serve as general office manager for HCS team interfacing with facilities regarding space needs, coordinating office supply orders, troubleshooting office technology (e.g., copiers). 
  • Serve as account administrator for any third-party database subscriptions.
  • Support of departmental goals to ensure completion of ongoing projects and special assignments.

WHAT YOU NEED

  • High School Diploma
  • At least 5 years of work experience of progressively advanced administrative support
  • Demonstrated proficiency in using Microsoft Office Suite technology, including complex document creation, spreadsheet creation, and presentation creation.
  • Demonstrated proficiency in email and calendaring systems, preferring Outlook proficiency.
  • Demonstrated proficiency in travel, expense and invoice management, preferring Concur
  • Detail orientation (e.g. calendar support across multiple time zones).
  • Ability to take proactive initiative, learn new concepts/processes, and improve current processes.
  • Ability to provide rapid, accurate response to confidential/sensitive requests and to routinely handle confidential information.
  • Ability to problem solve independently. 
  • Ability to prioritize multiple simultaneous deliverables and work in a demanding environment.
  • Must be able to understand and work within complex interdivisional procedures and executive schedules.
  • Demonstrated interpersonal, oral and written communication skills.
