Main function of job:
The returns analyst will be located in our Returns department which is part of the wider warehouse team. They will assist in supporting and helping to maintain the Company’s distribution activities, whilst meeting customer service and quality.

This person will spend 50% of their time monitoring KPI’s, coordinating aged Returns, and coordinating with logistics and internal stakeholders alongside the Warehouse Manager. They will look for areas of concern or improvement. They will determine process constraints/opportunities, identifying new processes, investigating and implementing new technologies to improve controls and efficiencies, leading continuous improvement projects. And act as a support for the Returns Manager.

The candidature will also spend the other 50% of their time completing returns processes such as the return of materials from various sources within the United Kingdom. These materials can be returns from hospital consignment, tech repairs, exchanges from hospital owned stock, expired swap out returns, or from returns from hospital owned stock.

The candidate will also be expected to work in any of the departments when needed during busier times.
The job will be a permanent day shift although depending on volumes there may sometimes be the requirement to stay and get the job done so the candidate will have to have a sense of responsibility and commitment to going the extra mile. There will be no direct reports but a responsibility to get the job done will be crucial.


In addition to this function employees are required to carry out such other duties as may reasonably be required.


Duties / responsibilities:
  • Lead and implement projects within the team and cross-functional, to further improve the department, resulting in increasing customer satisfaction, increasing efficiency, lower costs and optimized inventory levels
  • Monitoring departmental KPI’s and analyse trends
  • Assist in achieving departmental and divisional KPIs and objectives.
  • Reviewing and documenting all current processes and work instructions
  • Mapping out and implementing process initiatives
  • Supporting current business needs/initiatives
  • Testing and implementing new technologies
  • Interfacing with management, QA, and other teams providing feedback and analysis
  • Researching and presenting new methods
  • Interfacing with different IT entities for projects/testing
  • Benchmarking against other European warehouses
  • Dealing with external and internal customer requests and queries
  • Liaison with couriers, hospitals and the Sales force
  • Run reports for other departments on KPI’s productivity and errors
  • Be an specialist in the departmental processes
  • Take responsibility for identifying areas of improvement and assisting in the implementation of actions relating to these.
  • Participate in projects within the team and cross-functional, to further improve the department, resulting in increasing customer satisfaction, increasing efficiency, lower costs and optimized consignment levels
  • Assist the team in the departmental Q12 action plan and help drive engagement
  • Build and maintain relationships with other departments and communicate effectively to build rapport within the organization
  • Sort and prioritise parcels that come via Goods In to the relevant team member
  • Identify items returned and process accordingly, i.e tech repairs to be booked in, owned stock to be listed, consigned stock to be returned from the account and PER’s/Recall to be returned to Manufacturer
  • Process all items within company guidelines following processes set out for that area of the business
  • For any items that need to be scrapped, do so in the correct manner and physically move the item to the designated area
  • When processing all stock look to maximise the amount of stock that can be re-utilised
  • For stock shipping from the building prepare paperwork, including any trade compliance paperwork to fulfil requirements
  • Respond to requests for information from RAQA, customer service, the asset team, tech services and the departmental managers
  • Ensure all stock is processed and put away in good time and with 100% accuracy

The Returns Analyst will not have any direct reporting responsibilities.
  • You will be expected to be flexible in terms of assisting the team in times of high volumes of workload and priority such as month and quarter end
  • As a Warehouse Analyst across all three teams, you will lead by example, driving the following aspects of the department:
    • Operational KPIs as specified by the departmental Manager
    • Team Engagement
    • Departmental projects and initiatives
    • Productivity in the department
    • Processes are followed and opportunities for improvement are identified and actioned

A Levels or higher

Experience required:
  • Qualification in Business Management, LEAN, Data Analyst or similar
  • Or experience and proven track record in a similar role


Any other particular aptitude / skill required

Ability to communicate in a highly effective manner and work both independently and as part of a team on assignments. Must be IT literate and efficient in an administrative environment. They must have the ability to work on their own initiative, prioritizing and organising workload.
