Job Description

  • Manage the schedule (including significant travel) and priorities of the Vice President of Human Resources with minimal supervision.
  • Organize and facilitate meetings, teleconferences and web casts for corporate executives, customers, division personnel and outside dignitaries; coordinate meeting logistics; prepare presentations and supporting materials; troubleshoot problems; satisfy special meeting requests. 
  • Coordinate travel schedules, calendars and appointments; book flights, accommodations and ensure all travel considerations are accounted for. 
  • Manage departmental expense budget
  • Prepare company reports and metrics
  • Prepare and present departmental information in meetings.
  • Participate in team/divisional projects.
  • Clearly and accurately communicate the vision, direction and expectations of the Vice President to the internal organization
  • Prepare Vice President for Board of Directors meetings.

Physical requirements

  • Ability to travel for business up to 10%. 
  • Sedentary work:  Exerting up to 10 pounds of force occasionally. 

Mental requirements

  • Confidence to work independently with minimal direction with demonstrated proactive approaches to problem-solving and strong decision-making capability. 
  • Basic understanding of budgets and expense management. 

Skills/Experience required

  • 12-15 years of experience in administrative/professional position; prefer experience includes support for Executives in a corporate environment
  • Demonstrated ability to provide effective high-level professional support to the Group President
  • Demonstrated ability to work with and influence Executives and others in the organization
  • Demonstrated ability to independently review/review documents, correspondence and phone calls.
  • Demonstrated ability to make effective judgments when responding to or delegating to appropriate Executives
  • Demonstrated proficiency in Microsoft Office Suite technology, including complex document creation, spreadsheet creation and presentation creation
  • Demonstrated detail orientation and follow-up skills
  • Demonstrated ability to take initiative, learn new concepts/processes/systems, and to improve them
  • Demonstrated integrity, with the ability to provide rapid, accurate responses to confidential/sensitive requests and to routinely handle confidential information
  • Demonstrated ability to prioritize and execute multiple simultaneous deliverables and work in a demanding environment
  • Demonstrated interpersonal, oral and written communications skills, producing correspondence that requires little/no additional editing
  • Demonstrated ability to anticipate the needs of the business and manager (Group President) and take actions to maximize results

Education/training required          

  • Associates Degree in Business Administration or other relevant field of study; Prefer a bachelor’s degree in Business.
  • Formal training in/application of Microsoft Office Suite technology, including Outlook, Word, Excel, Access and PowerPoint.
