Job Description

Main function of job:

The role will assist the VP/GM in the day to day running of their office and special projects. Provision of executive administrative duties such as managing communications, production of reports, high level presentations, diary management.

Main Duties / responsibilities

  • Serve as the main point of contact for the VP/GM.
  • Provide daily confidential support to the VP/GM.
  • Process all incoming and outgoing communications (processing letters, reports and other materials, distribution of mail, answering phones).
  • Maintain the correspondence, reports and presentations databases including files, training records, organization structure, position descriptions, MARs, audit reports ensuring critical and/or confidential data is appropriately managed and stored.
  • Prepare high level reports and power point presentations.
  • Coordination of travel arrangements, itineraries, meetings and appointments such as monthly 1:1s with Direct Reports, Team meetings, Business Review Meetings etc.
  • All other duties as assigned.

Minimum Qualifications

Working conditions / degree of effort required:

  • A busy office environment, candidate must have superior communication skills and high-energy.
  • Candidate must be able to work on own initiative, e.g. creating draft presentations for forthcoming meetings/events.

Qualifications / education required:

  • Degree level would be preferable
  • Advanced skills in Microsoft Office especially Powerpoint
  • Multilingual (English and Dutch are essential)
  • Experience required:
  • At least 3 years experience in an Executive Administrative role preferred
  • Strong attention to detail

Additional Skills/Talents:

  • Excellent communication skills, both oral and written, required
  • Superior analytical and problem solving skills required
  • Ability to read and understand reports and able to select key metrics to include in reports and presentations
  • Strong working knowledge with word processing and computer database programs including Microsoft Office Suite (Word, Excel, PowerPoint and Access)
  • Must be proficient in filing systems, report writing, phone systems and corresponding with key contacts to include Executive Management
  • Able to keep information and documents confidential and operates discretely
