Position Summary:

The Executive Assistant is responsible for support of the VP RAQA and other RAQA leaders as required.  Reports directly to the corporate Vice President of Corporate RAQA.  Works with other administrative professionals across the organization to improve communication, streamline processes and establish a network to advance company-wide initiatives. 

Essential Duties & Responsibilities: (Detailed Description)

  • Provide general administrative support in the areas of correspondence, heavy travel, expense reporting, meeting planning, calendar management
  • Ability to build trusting relationships with key internal and external stakeholders across multiple levels of the organization, including SLT, GQO LT, Divisional and International RAQA LT.
  • Ability to provide unwavering discretion when handling confidential information
  • Ability to prioritize multiple simultaneous deliverables and work in a demanding environment
  • Ability to play a leadership role within the broader company administrative professional team
  • Partner with department to manage annual budget including invoice processing, expense processing/tracking and monthly budget reconciliation/forecasting 
  • Organize in person and virtual meetings with emphasis on leveraging technology platforms, agenda development, presentation material creation/formatting and onsite support as appropriate to drive global engagement in key initiatives
  • Maintain departmental reports, scorecards and metrics working with team members to provide quarterly updates
  • Manage projects and programs, as assigned to support departmental objectives
  • Conduct research and synthesize results with emphasis on actionable recommendations
  • Create and maintain electronic filing systems via SharePoint, Connect, MS Teams, etc.
  • Provide back-up administrative support to other administrative professionals as required

Education & Special Trainings:

  • Associate degree or equivalent work experience
  • Formal training or on the job experience in Microsoft Office Suite

Qualifications & Experience:

  • 10+ years of administrative support at an Executive level

Physical & Mental Requirements:

  • Ability to take initiative, anticipate and address issues, learn new concepts/processes
  • Must be proficient in Microsoft office Suite Technology
  • Must be detailed oriented
  • Must be able to review printed materials
  • Ability to create rapport with network of colleagues located in various locations around the world
  • Ability to use common office equipment
