Job Description

As the Event Coordinator you will manage healthcare professional (HCP) events across the divisions in the Netherlands. This encompasses the entire operational processes related to events, ensuring a “Best in Class” service is created and maintained through implementing solutions to further develop, maintain and improve franchise/HCP satisfaction, maximise cost efficiencies, particularly around flights & logistics, and ensure adherence throughout the changing compliance regulations within Europe and the Netherlands.

Your key responsibilities:

  • Organize and oversee HCP events (conferences, workshops, etc.) in a timely manner in partnership with Education and Marketing.
  • Coordinate HCP event logistics, such as hotel bookings transfers, flights as well as material preparation and distribution in partnership with marketing.
  • Maintain and develop event support materials. Monitor production to ensure consistency and appropriateness.
  • Liaise with all the major functions of the business such as the Franchises, Compliance, Finance to achieve key activities on a local, pan-European and / or cross-divisional level.
  • A high level understanding of local compliance and contract execution for both HCPs and institutions is expected.
  • Provide onsite support where appropriate, especially for the larger events.
  • Support Marketing in Consulting contracts coordination - applications submission, contracts approval and signing; control and timely contracts settlement.
  • Collect the necessary documentation and obtain required approvals to organize events. Entering timely applications into appropriate databases.
  • Ensure all documentation of event participants (HCP) is complete and accurate. Collect and maintain accurate library of organise events documentation.
  • Provide comprehensive analysis and reporting on all events for feedback to senior management
  • Ensure all KPI’s such as travel booking timelines, faculty payments, contract monitoring, AMEX reconciliation and ensure metrics are monitored effectively and achieved
  • Play an active role in the European Events team as we strive to implement a world class Events Logistics and HCP Support service, driving usage of new tools.
  • Take responsibility for Franchise operational and cost management with the expectation of driving cost down within flight bookings and a strong focus on event timelines to increase the overall the initial notification to event date to ensure sufficient time to ensure sufficient time for Legal and Compliance review. 
  • Assist in maintaining a culture of continuous improvement of service provided to our customers.

What are we looking for?

  • Project Management would be desirable
  • Fluency in English is essential
  • It would be desirable (but not essential) if you had experience in Netherlands HCP Events organization including customer facing experience.
  • Working knowledge of Netherlands and MedTech Europe Compliance guidelines would be advantageous.
  • Experience in the Medical or Pharmaceutical industry would also be advantageous
