Job Description

Provides direct support to the Sr. Director of R&D and his Leadership team. Responsible for supporting the everyday needs and functions of the R&D department: New Product Development and Product Engineering, but not limited to: Advanced Operations, Advanced Quality Engineering and Sourcing.

  • Direct support to the Sr. Director of R&D
  • Maintain the calendar/schedule/meetings for Sr. Director
  • Manage calendar for assigned leader(s) as needed
  • Responsible for coordination of the weekly department meeting, occurring every Monday, including preparation of content, identifying a weekly presenter, and sharing relevant announcements and information to the full R&D organization
  • Meeting Management: Secure meeting room(s)/facility/equipment, technology support, coordinating advanced room setups with facilities and prepare meeting materials both on and offsite
  • Arrange travel and logistical accommodations for all attendees for Team Building Events and Manager Meetings
  • Responsible for keeping a master calendar and list of all R&D events/conferences/meetings/birthdays/anniversaries
  • Supports the department by answering phones, arranging and ordering food for lunch meetings, document copying/shredding, internal mail, kitchenette stocking, etc.
  • Budget and expense management of all Coordinator and department expenses (Meetings AMEX credit card, Travel Amex credit card and P-card) via Concur expense software. Not limited to: project coding, purchase orders, travel and obtaining appropriate signatures for approval
  • Assist and coordinate all necessary product launch efforts for all National Sales and Mid-Year Sales Meetings
  • Update onboarding checklists, binders and materials according to role in R&D on a regular basis
  • Setup new hire cubes/offices: supplies, computers, chairs
  • Responsible for maintaining inventory of office supplies
  • Functions as document control administrator for NPD test protocols, data sheets, formal reports, and summaries.
  • Supports project efforts by ordering materials and competitor products, locating and retrieving product samples, and helping to prepare FedEx/UPS shipping.
  • Flexibility for a wide variety of jobs including emergency fill-in assignments.
  • Facilitate smooth and positive communications between executive and colleagues, key stakeholders, senior leadership and external parties
  • Build effective working partnerships with members of the R&D team, as well as, across teams in the business, function and company
  • Proactively contributes ideas to maintain and improve R&D projects, processes, and culture

Bachelor’s Degree or equivalent work experience (required)

  • Customer service mentality where the customers are department leadership, engineers, scientists, and marketing team members
  • Requires discretion and confidentiality
  • Effective time management - proactively looks for opportunities to offer assistance to people and projects (required)
  • Consistently maintains positive attitude (required)
  • Ability to work both independently and as part of a team 
  • Excellent verbal and written communication skills. Must have a good understanding of technical and business vocabulary
  • Understanding of medical industry preferred
  • Experience with Microsoft Office programs
  • Possess attention to detail
