The Administrative Assistant (AA) for Talent Acquisition and Workplace Practices must have proven experience in all aspects of administration supporting executives in a global organization. The AA works closely with the functional leaders to set schedules and manages all department leadership and team programs, manages department budget and expense reconciliation, provides expert communication and editorial support and coordinates travel for the leaders. The AA also independently manages special projects as assigned and has exceptional office management skills. The AA must be able to multi-task in a fast-paced environment, work effectively across the organization and maintain the highest level of discretion and professionalism.


Perform administrative support to VP Talent Acquisition and VP Workplace Practices. Manages travel arrangements including preparing detailed itineraries for each trip, and is available after office hours to check messages and monitor travel arrangements. Drafts confidential reports, correspondence and agendas; uses own initiative to answer routine inquiries. Prepares materials in final form from very rough or involved drafts, which may utilize frequent use of statistical data, including charts and graphs as necessary. May combine material from several sources as necessary. Maintains updated departmental organizational charts. Updates spreadsheets and databases and maintains department files, including those of a confidential nature. Prepares and produces materials and presentations for executive meetings Possesses strong professional acumen when interacting with customers and employees via phone or in person. Schedules outgoing business phone calls, conference calls and WebEx meetings globally. Maintains Executive(s) schedule and calendar. Schedules business meetings both inside and outside of the office via an electronic calendar Reviews, prioritizes and responds to incoming mail, voicemail, email, and confidential documents. Determines if executive action is required. Communicates with Executive staff and all levels of personnel inside and outside the company to gather and convey information pertaining to executive’s office and responsibilities. Reviews and prioritizes activities, takes action and escalates critical matters. Refers routine matters to appropriate parties for action and follows up to ensure proper disposition. Performs miscellaneous job-related duties as assigned


  • Preferred minimum of 5 years’ experience in executive level administrative support
  • Bachelor's degree or equivalent
  • Demonstrated high degree of professionalism, integrity, discretion, dependability, and ability to work independently with minimal supervision.
  • Extremely detail-oriented in coordinating activities.
  • Demonstrated ability to maintain strict confidentiality of privileged information and perform a wide range of duties that require tact, sensitivity, independent judgment, diplomacy, organizational skills, flexibility, and discretion.
  • Excellent calendar management skills, including the coordination of complex executive meetings.
  • Exceptional project management skills, to include the ability to organize and lead multiple, concurrent initiatives simultaneously, and to proactively and strategically meet project needs until successful completion.
  • Thorough knowledge of Microsoft Office applications, database management, the internet, and other relevant software; operation of standard office equipment to effectively create documents, reports, and presentations.
  • Exceptional written and verbal communication skills; strong command of grammar and English usage in professional business communications which includes accuracy in proofreading, composing correspondence, editing, and typing.
  • Ability to anticipate problems, critical issues, and opportunities as they arise and advise accordingly.
  • Ability to use good judgment and individual discretion in responding to inquiries.
  • Self-motivated and committed to continuous improvement.
  • Ability to work hours outside the traditional workday (evenings or weekends) as required.
