Main function of job:

The role will assist the Business Unit Directors in the day to day running of their office and special projects. Provision of executive administrative duties such as managing communications, production of reports, high level presentations, diary management.

Main Duties / responsibilities

  • Provide daily confidential support to the Directors
  • Process all incoming and outgoing communications (processing letters, reports and other materials, distribution of mail, answering phones).
  • Maintain the correspondence, reports and presentations databases including files, training records, organization structure, position descriptions, MARs, audit reports ensuring critical and/or confidential data is appropriately managed and stored.
  • Prepare high level reports and power point presentations.
  • Coordination of travel arrangements, itineraries, meetings and appointments such as monthly 1:1s with Direct Reports, Team meetings, Business Review Meetings etc.
  • All other duties as assigned.

Working conditions / degree of effort required:

  • A busy office environment, candidate must have superior communication skills and high-energy.
  • Candidate must be able to work on own initiative, e.g. creating draft presentations for forthcoming meetings/events.

Qualifications / education required:

  • Degree level would be preferable
  • Advanced skills in Microsoft Office especially Powerpoint
  • Touch typing and audio typing to 80 words per minute
  • Multilingual (English essential and Dutch highly desired)

Experience required:

  • At least 3 years experience in an Personal Administrative role preferred
  • Strong attention to detail

Additional Skills/Talents:

  • Excellent communication skills, both oral and written, required
  • Superior analytical and problem solving skills required
  • Ability to read and understand reports and able to select key metrics to include in reports and presentations
  • Strong working knowledge with word processing and computer database programs including Microsoft Office Suite (Word, Excel, PowerPoint and Access)
  • Must be proficient in filing systems, report writing, phone systems and corresponding with key contacts to include

Travel Percentage: 10%
