Job Description

Key Activities & Accountabilities

Support for Managing Director

  • Provide executive support and oversee all aspects of day to day GM office coordination
  • Maintain General Manager calendar to coordinate work flow and meetings
  • Prepare agendas, make arrangements for business meetings and travels. Taking and distributing minutes of meetings
  • Ensure that all internal and external communication is answered timely and appropriately and all relevant parties are informed
  • Ensure good communication flow between the local Management Team and General Manager and between Poland and HQ
  • Prepare correspondence, reports, presentations and other business documents required by GM
  • Designs office documents keeping system and insures maintenance of organizational documents, records and reports  files
  • Maintains follow-up/reminder systems to insure timely completion of projects

Office Management

  • Ensure that the Polish office is managed efficiently and effectively
  • Manage 2 receptionists and coordinate front desk administrative staff workflow
  • Fleet management
  • Responsibility for telecommunication services
  • Maintain and coordinate the flow of company equipment (IT assets and other office equipment)
  • Optimization of costs related to the office administration while providing the highest level of service
  • Maintain effective business relationships and negotiate with external administration providers including but not limited to: building administrators, car lease, equipment services, cleaning service, office supplier, taxi, hotels
  • Analysis of expenditures and cost control regarding functioning of the office
  • Supervision of the flow of documents
  • Develop and recommend office procedures and systems to ensure smooth office operations
  • Contact with building administration for office maintenance or in the event of any repairs needed to building
  • Set clear objectives for direct reports and conduct effective performance evaluations to ensure that both individual and organizational development and training needs are met


  • Knowledge of principles and practices of basic office management and organization
  • Computer literate
  • Fluent English written and spoken
  • Bachelor’s degree


  • At least 5 years experience in a similar role (office management, team management, executive assistant) in international business environment


  • Exceptional organizational skills, ability to multi-task and ability to effectively prioritize work flow
  • Ability to work under pressure and meet deadlines
  • Capability to handle all information confidential
  • Excellent interpersonal and communication skills
